Bookkeeping backlog and catch-up

Get your records back on track

When the bookkeeping falls behind, it becomes harder to trust your balances, answer questions and decide what the business can afford.

Coach Accountant helps established businesses in Cape Town and across South Africa assess the backlog, organise the supporting evidence and bring agreed accounting periods up to date.

Gather the evidence, reconcile the records and get back on track.

You know the records need attention. Where do you start?

  • Bank transactions have not been processed or reconciled.
  • Invoices and supporting documents are scattered across inboxes and folders.
  • Customer, supplier or loan balances do not look right.
  • You have changed accountants or systems and inherited unresolved questions.
  • You need current reports but cannot yet rely on the records behind them.

We start by establishing what is complete, what is missing and which periods need attention. You get a defined starting point before committing to the catch-up work.

Know what is missing and what to provide

EvidenceIQ: organise the evidence

We identify the bank statements, invoices, payroll records and other documents needed for the agreed periods. You receive a clear request list and an agreed way to provide the information.

IntegrityIQ: rebuild reliable records

We process and reconcile the agreed records, investigate unexplained balances and document unresolved items. Missing evidence is made visible so you know what still needs attention.

A clear rhythm from backlog to review

  1. Assess the position. We discuss the periods involved, accounting system, information available and any urgent reporting or compliance needs.
  2. Agree the work. We define the scope, responsibilities, fee and proposed timetable. Work begins once the engagement is agreed and the required payment is received.
  3. Provide the evidence. We agree document delivery dates and review missing items with you. Timely, complete information is essential to progress.
  4. Process and reconcile. We work through the agreed periods and explain material issues or additional work that needs your decision.
  5. Review the result. You receive the agreed accounting outputs, a summary of unresolved matters and practical next steps for keeping the records current.

We agree when you will receive progress updates. If missing information prevents a reliable result, we explain the effect on the scope or timetable and agree the next step.

What becomes clearer for you

Cash

Reconciled bank records and reviewed customer and supplier balances help you understand what has been received, what has been paid and which balances need attention.

Profit

Up-to-date income and expense records provide the foundation for understanding performance. Deeper margin analysis can follow once the information supports it.

Control

You know which periods have been completed, what evidence remains outstanding and which balances or processes still need attention.

Business Value

A more dependable accounting foundation helps you move from catching up to regular reporting and informed decisions.

What is included depends on the condition of your records

Your proposal sets out the periods, processing, reconciliations and reports included. We distinguish catch-up work from ongoing bookkeeping, management reporting and tax submissions so you understand the engagement.

If we identify additional work, we discuss the scope and fee before proceeding. The timetable depends on the volume and condition of the records and when complete evidence is provided.

Once your records are sufficiently reliable, ProfitIQ™ management accounts and profitability analysis can help you use them to guide decisions. If a SARS notice or dispute needs separate attention, explore SARS ResolutionIQ.

Frequently asked questions

Can you quote before seeing the records?

We need enough information to understand the periods, transaction volume, system and condition of the evidence. We explain any assessment work and its fee before it begins.

What if documents are missing?

We identify the gaps and discuss what can be obtained or supported. Some items may remain unresolved until sufficient evidence is available.

Are tax returns included?

Only where they are expressly included in the agreed scope. Catch-up bookkeeping does not automatically include tax submissions or dispute work.

Can you help keep the records current afterwards?

Yes. We can discuss an ongoing accounting and reporting engagement with agreed evidence delivery dates and review routines.
