Privacy Notice

How Coach Accountant handles personal information received through this website and related enquiries.

1. Who is responsible for your information?

Coach Accountant CC is the responsible party for personal information processed in connection with this website and enquiries arising from it. Privacy enquiries may be directed to Debbie-Ann Paterson at hello@coachaccountant.co.za or 082 412 4437.

2. Information we may receive

If you use our enquiry form or contact us by email or telephone, we may receive your name, contact details, business details and the information you choose to provide about your enquiry, including a SARS matter. The enquiry form is delivered through Web3Forms. Our hosting, email and security providers may also process technical information such as IP addresses, browser information and access logs. Please do not send tax credentials or sensitive supporting documents through the public enquiry form; we will agree an appropriate method for sharing them.

3. Why we process it

We process personal information to respond to enquiries, assess whether and how we may assist, communicate with prospective and existing clients, maintain business and security records, comply with legal and professional obligations, and establish, exercise or defend legal rights.

4. The basis for processing

Information is processed where you consent, where processing is necessary to take steps at your request before entering into an agreement, to perform an agreement, to comply with an obligation imposed by law, or to pursue a legitimate interest permitted by the Protection of Personal Information Act 4 of 2013 (POPIA). Providing information in an enquiry is voluntary, but we may be unable to respond meaningfully without enough information.

5. Sharing and cross-border processing

We do not sell personal information. Information may be shared only where reasonably necessary with authorised service providers, professional advisers, regulators or public authorities, or where required by law. Some technology or hosting providers may process information outside South Africa. Where this occurs, reasonable steps will be taken to use providers and safeguards consistent with POPIA.

6. Security and retention

Reasonable technical and organisational safeguards are used to protect personal information against loss, misuse, unauthorised access, interference, alteration or disclosure. Information is retained only for as long as reasonably required for the purpose for which it was collected, or as required by law, professional obligations or legitimate record-keeping needs.

7. Your rights

Subject to applicable law, you may ask whether we hold your personal information, request access to it, ask for inaccurate information to be corrected, request deletion where appropriate, object to certain processing, or withdraw consent where consent is the basis for processing. Please contact us first so that we can try to resolve your concern. You may also lodge a complaint with the Information Regulator (South Africa).

9. Cookies and updates

We do not currently use advertising cookies or website analytics. Essential technical processing by the hosting and form-delivery services may occur to deliver, secure and protect the website and enquiry form against misuse. If analytics or advertising tools are introduced, this notice and any required consent mechanism will be updated. This notice may also be updated when our practices or legal obligations change.
